Project Description
The Challenge
Prior to the AV upgrade, the HHSA South Campus conference rooms faced several limitations that hindered effective collaboration and meeting operations. Outdated projectors, screens, and control panels lacked modern features and did not support hybrid meetings, while ceiling-recessed loudspeakers provided inconsistent audio coverage, reducing speech intelligibility in larger or combined room configurations. The legacy systems were complex to operate, requiring technical knowledge, and the three rooms could not easily function as a combined space, limiting flexibility for larger meetings. Additionally, remote participation was difficult due to the lack of integrated cameras, microphones, and web conferencing support. Addressing these challenges required a carefully designed AV modernization that delivered flexible, reliable, and user-friendly technology for seamless collaboration.
The HHSA South Campus conference rooms play a critical role in supporting internal operations, public meetings, and hybrid collaboration across the County. To enhance operational efficiency, Napa County partnered with EIDIM Group Inc. to implement a comprehensive AV modernization solution, providing large-format display monitors, digital audio processing, integrated web conferencing systems, and automated room-combining technology. These upgrades enable staff to quickly adapt the rooms to different meeting sizes and formats, simplifying operations while ensuring high-quality communication and collaboration.
Technologies and Solutions Used:
Video displays
The Napa County HHSA South Campus conference rooms were equipped with a fully integrated audiovisual system designed to enhance visual presentation, audio clarity, hybrid collaboration, and operational flexibility. Video displays included 98-inch LED UHD monitors as primary presentation screens, complemented by 43-inch reinforcement monitors for visibility from all areas. Mounting solutions used TEMPO FP wall mounts, ceiling-mounted Large FIT single mounts, Speed-Connect above-tile suspension kits, and adjustable extension poles, while DA2 HD 4K Plus HDMI distribution amplifiers and dedicated 4K HDMI cabling ensured reliable content delivery from laptops and stationary PCs.
Audio system
The audio system provided consistent, high-quality sound reinforcement through dual-channel digital microphone receivers, hand-held digital microphones with wideband antenna distribution, and 6.5-inch two-way ceiling speakers. Digital audio processors handled mixing, distribution, and acoustic echo cancellation, and a 1/2 RU 2-channel ENERGY STAR amplifier powered the speakers, complemented by an ADA-compliant assistive listening system to meet accessibility standards.
Audio and video distribution
Audio and video distribution were managed via a 10×8 seamless 4K scaling presentation matrix switcher, Extron DTP transmitters and receivers, and HDMI wallplate interfaces, enabling effortless connection of laptops and AV sources. Hybrid collaboration was supported through PTZ network cameras with 12x optical zoom and 80° horizontal field of view, along with Q-SYS PoE AV-to-USB bridging endpoints for Zoom, Microsoft Teams, and other platforms, fully integrated with stationary PCs for smooth remote participation.
Control and room management were simplified through a Q-SYS 10.1” rack-mounted touch screen controller and 7” wall-mounted touch panels, while automated partition sensors allowed rooms to operate independently or as a combined space. A 26-port preconfigured network switch provided PoE++, AES67, Dante, and advanced QoS support to ensure reliable system communication. The infrastructure included modular interface accessories, power centers, rack shelves, storage drawers, and structured cabling (LAN, coaxial, audio, speaker, and Extron DTP) that leveraged existing ceiling conduits to minimize disruption. The project scope encompassed full engineering, installation, programming, testing, commissioning, and end-user training, delivering a flexible, user-friendly, and future-ready AV environment.
Project Outcome
The completed project successfully transformed the HHSA South Campus conference rooms into a modern, flexible collaboration environment capable of supporting both in-person and hybrid meetings. Large-format displays and reinforcement monitors provide clear, bright visuals for all participants, while digital signal processing and high-performance ceiling speakers deliver consistent audio clarity, even in combined room configurations. PTZ cameras, AV-to-USB bridging, and integrated web conferencing enable seamless remote participation, and automated partition sensors allow rooms to operate independently or as a single larger space, reducing manual setup time. Intuitive Q-SYS touch panels simplify control of video, audio, and conferencing systems, minimizing the need for technical assistance. Overall, the upgraded AV system enhances collaboration, supports Napa County’s public service operations, and provides a reliable, future-ready platform for evolving communication needs.
