Job Description:
To provide comprehensive administrative support to ensure the efficient operation of the
company. The Admin Assistant will support managers and employees through a variety of tasks
related to organization and communication.
Essential Duties: The Admin Assistant is not, however, limited to these tasks.
- Process and update documents for EIDIM Corporation
- Process permits, business licenses, certifications, car registrations, and insurance.
- Send Insurance and Bid Bond requests.
- Work on Bonding – once notice of award / intent to award is given coordinate as soon as
possible to the Admin Lead. - Process Fedex label.
- Updated Permit, License, and Insurance Log.
- Update and check backlog every day.
- Process scheduling appointments and travel.
- Process phone plan, internet, and electricity
- Coordinating with Admin personnel regarding weekly meetings, and Zoom meetings
- Ensuring completion of assigned projects under deadlines.
- Perform other duties as assigned.
- Collaborate effectively with team members to ensure a smooth workflow.
- Coordinate travel arrangements and process expense reports.
- Conduct research and compile data as required.
Responsibilities:
- Communication: Act as the initial point of contact, handle phone and email
communications, and manage the company’s general correspondence. - Documentation: Prepare, manage, and file documents such as licenses, bonds and
insurance. - Scheduling: Assist in scheduling meetings, appointments, and travel arrangements for
managers and employees. - Data Entry: Accurately input and maintain data in various systems and databases.
- Support to Management: Provide administrative support to senior management,
including making travel arrangements and preparing expense reports. - Event Coordination: Assist in planning and coordinating company events, meetings, and
conferences. - Policy Compliance: Ensure compliance with company policies and procedures, and assist
in developing and implementing administrative policies. - Office Management: Maintain office supplies inventory, handle mail and courier services,
and ensure the office environment is tidy and well-organized.

Minimum Qualifications:
- Bachelor’s degree or at least one year of experience in a related field.
- Experience in managing schedules, appointments, and travel arrangements.
- Experience in handling documentation such as permits, business licenses, certifications,
and insurance.
